Somewhere in the machine conversation a facilities question appears: does it plug into the water line, or does someone fill a tank? It sounds like a plumbing detail. It is actually the single decision that most determines whether the machine still gets used enthusiastically in month six.
The two options
Plumbed-in: the machine connects to the building's cold water supply through an inline filter, and draws water on demand. This is what we install by default.
Bottled or reservoir: the machine holds an internal tank, or sits on a water cooler bottle, and a person refills it.
Taste consistency
Coffee is roughly 98% water, so water quality is not a garnish. An inline filter treats every litre the same way, which means the cup on a Monday morning tastes like the cup on a Thursday afternoon.
Reservoir systems introduce variance you cannot see: water that has sat in a warm tank over a weekend, a bottle from a different lot, someone topping up from the washroom tap because the delivery is late. Espresso is unforgiving here — scale and off-flavours show up in a short, concentrated drink far faster than in a diluted drip pot.
Scale is the other half of the argument. Untreated hard water leaves mineral deposits inside the boiler and lines, and hard water is a live consideration across much of this region. A filter on the inlet is preventive maintenance that happens without anyone thinking about it.
Refill labour
Do the arithmetic on your own volume. A 30-person office pouring around 40 cups a day is moving several litres of water through the machine daily. On a reservoir system that is a refill task once or twice a day, every day, assigned to nobody in particular.
This is the same failure pattern as the cleaning rota: it works for two weeks, then the machine is empty at 3 p.m. and the person who wanted a coffee decides to drive somewhere instead. A plumbed machine has no such failure mode, because there is no human step between the tap and the cup.
Footprint and placement
This is the honest advantage of bottled and reservoir units: they go anywhere there is a power outlet. If your reception desk is nowhere near a water line, or you are in a heritage building, or the landlord's fit-out rules make a tap connection a three-week approval, a reservoir unit is genuinely the pragmatic answer.
Plumbed machines need a cold water line within reach and a drain or a serviced waste container. In most offices that means the machine belongs in or beside the kitchen — which is usually where you want it anyway, because that is where the sink, the cups and the foot traffic already are.
Reliability
Fewer moving human steps means fewer failure points. The two most common reasons an office coffee machine sits unused on a given afternoon are that it needs cleaning and that it needs water. Plumbing removes the second one entirely, and a weekly service visit removes the first.
The waste side matters too. On our installs, wastewater is sealed and removed as part of the service route rather than being someone's job to carry to a sink, which is also what makes the setup workable in offices without a convenient drain.
So when does each make sense?
- Plumbed-in — any office over about ten daily coffee drinkers, any location with public or client traffic, anywhere the machine needs to work without supervision. This is the default for a reason.
- Reservoir — small satellite offices, temporary spaces, showrooms and reception areas where no water line is reachable, and pour volume is genuinely low.
